Job Overview:
We’re looking for a Crew Scheduler to support workforce planning and scheduling for Look and Signage operations for the FIFA World Cup 2026. In this role, you’ll be responsible for coordinating and managing crew schedules across all event phases, including installation, maintenance, and dismantling. You’ll work closely with Operations, Installation Managers, and cross-functional teams to ensure all crew members are appropriately assigned, briefed, and prepared to support successful event delivery. This position is critical to operational readiness, ensuring the right personnel are in the right place at the right time throughout the tournament lifecycle. 

 

What You’ll Do:

  • Create, manage, and maintain crew schedules for Look and Signage operations across all phases of the FIFA World Cup 2026, including installation, maintenance, and dismantling 
  • Collaborate with department heads, venue managers, Installation Managers, and Operations teams to understand staffing requirements and ensure appropriate crew coverage 
  • Assign crew members to shifts based on skills, experience, certifications, and operational needs while adhering to labor laws, union guidelines, and rest period requirements 
  • Coordinate shift rotations, time-off requests, and special scheduling considerations to ensure efficient workforce allocation 
  • Communicate schedules clearly and in a timely manner to crew members, managers, and key stakeholders 
  • Provide daily crew schedules and real-time updates to support smooth on-site operations 
  • Manage last-minute schedule changes, call-outs, or emergency staffing needs, quickly resolving coverage gaps 
  • Track crew availability, attendance, and timekeeping, ensuring accurate records of hours worked, breaks, and overtime 
  • Manage crew check-ins and check-outs, confirming all personnel are logged and accounted for during assigned shifts 
  • Coordinate with Logistics and Operations teams to ensure crew members have equipment, credentials, access permissions, and transportation prior to their shifts 
  • Support crew briefings by reinforcing operational protocols, safety procedures, and role-specific responsibilities 
  • Proactively identify potential staffing risks and implement solutions to avoid operational disruption 
  • Compile post-event reports on crew attendance, utilization, and scheduling effectiveness, providing recommendations for future improvements 
  • Ensure all scheduling practices comply with local labor laws, health and safety standards, and event-specific policies 

  

What We’re Looking For:

  • Proven experience in crew scheduling, workforce coordination, or operations support, preferably within large-scale events, sports tournaments, or live event environments 
  • Strong organizational skills with the ability to manage multiple crews across venues, timelines, and shifting priorities 
  • Detail-oriented and highly reliable, with experience maintaining accurate scheduling, attendance, and timekeeping records 
  • Clear and professional communicator, comfortable working with on-site teams, managers, and operational stakeholders 
  • Ability to remain calm, adaptable, and solutions-focused in fast-paced, high-pressure environments 
  • Proficiency in scheduling tools, workforce systems, spreadsheets, and Microsoft Office 
  • Working knowledge of labor guidelines, rest period requirements, and health and safety considerations for large event staffing 
  • Flexibility to work evenings, weekends, and holidays as required by event schedules 
  • Fluency in English  
  • Familiarity with FIFA tournaments and large-scale sporting events
