Event Coordinator
Position Summary
The Event Coordinator plays a key role in planning, organizing, and executing events for both Dallas Trinity FC and Atlético Dallas. This position will support events and activations across both organizations, ensuring each experience reflects the respective club’s mission, brand, and standards.
This position requires exceptional organizational skills, strong communication, and the ability to manage multiple priorities while delivering seamless, high-quality experiences for fans, guests, partners, and staff. The Event Coordinator will also serve as the main point of contact for Street Team members, overseeing communication, scheduling, and staffing for events and activations.
Responsibilities
Event Planning & Logistics
  • Develop and manage event timelines, production schedules, and checklists.
  • Coordinate venues, vendors, permits, equipment, and other event-related needs.
  • Support the planning and execution of events and activations for both Dallas Trinity FC and Atlético Dallas.
  • Coordinate the transportation of event materials, equipment, merchandise, and promotional items as needed.
  • Safely operate company vehicles to transport staff, equipment, and event materials to and from events.
  • Oversee the general upkeep, cleanliness, and maintenance of company vehicles used for events and activations.
  • Coordinate routine vehicle maintenance, inspections, servicing, and repairs as needed.
Street Team Management
  • Serve as the main point of contact for Street Team members.
  • Create and manage Street Team schedules for events, activations, match days, and community appearances.
  • Communicate event details, call times, locations, responsibilities, and expectations to Street Team members.
  • Coordinate appropriate staffing levels based on the needs of each event.
  • Provide on-site direction and support to Street Team members.
  • Help ensure Street Team members represent Dallas Trinity FC and Atlético Dallas professionally and consistently.
On-Site Event Management
  • Supervise event setup, execution, and breakdown.
  • Direct staff, Street Team members, and volunteers, during events.
  • Ensure event materials and equipment are properly transported, set up, maintained, and returned.
  • Troubleshoot operational issues and make real-time decisions to ensure successful event execution.
Collaboration & Communication
  • Partner with marketing teams to promote events across digital and print platforms.
  • Work closely with sponsorship, ticketing, community engagement, marketing, and other internal departments across both clubs.
  • Serve as a primary point of contact for vendors, sponsors, partners, and attendees.
  • Maintain clear and timely communication with internal teams regarding event logistics, staffing, and operational needs.
Budget & Reporting
  • Prepare and manage event budgets, invoices, and expense reports.
  • Track key metrics, including attendance, revenue, engagement, and guest satisfaction.
  • Maintain accurate records of event-related expenses and vendor costs.
  • Produce post-event evaluations and recommendations for improvement.
  • Monitor and manage inventory of promotional materials, giveaways, event supplies, signage, and activation equipment for both clubs.
  • Coordinate the ordering and restocking of promotional materials, giveaways, and event supplies based on upcoming event needs and approved budgets.
  • Conduct regular inventory counts and maintain accurate records of promotional items distributed at events and activations.
Qualifications
  • 2+ years of event planning, project management, sports operations, marketing events, or related professional experience.
  • Strong organizational and multitasking skills with exceptional attention to detail.
  • Excellent verbal and written communication skills.
  • Demonstrated ability to coordinate staff and manage event schedules.
  • Ability to work independently while collaborating effectively across multiple departments and organizations.
  • Ability to work evenings, weekends, holidays, and non-traditional hours as needed.
  • Valid driver’s license and ability to safely operate company vehicles.
  • Must maintain a good driving record and meet company requirements for operating company vehicles.
  • Ability to travel locally throughout the Dallas-Fort Worth area for events and activations as needed.

  • Comfortable leading and communicating with part-time and event-based staff.
  • Experience working in sports, entertainment, live events, or experiential marketing is preferred.
  • Strong interest in soccer and the Dallas-Fort Worth sports community is a plus.
