  TITLE: Team Administrator – Academy DEPARTMENT: Team OperationsREPORTS TO: Head of Academy OperationsFLSA: Full-time; Exempt   WHAT SETS YOU APART The Team Administrator will provide comprehensive administrative and operational support across the Academy’s Pre-Formation and Formation age groups. This role will work closely with the Head of Academy Operations, Director of Soccer Operations, and Academy Director.  This role will be an integral piece ensuring smooth day-to-day delivery of Academy programming in alignment with MLS standards, Orlando City SC operational expectations, and safeguarding requirements.   The ideal candidate is highly organized, proactive, and detail-oriented, with experience supporting elite youth soccer environments. This individual will serve as a central point of coordination for players, parents, coaches, and external stakeholders while ensuring all operational, registration, scheduling, travel, and compliance processes are delivered to a high professional standard.   ESSENTIAL DUTIES AND RESPONSIBILITIES   Provide full administrative and operational support for all Pre-Formation and Formation age groups across training, fixtures, tournaments, showcases, and special events. Coordinate and maintain all phase-specific schedules, calendars, and communications through Teamworks and other club communication platforms. Serve as a primary administrative contact for players, parents, coaches, and support staff within assigned age groups. Assist with the day-to-day operational delivery of academy programming in accordance with MLS standards and club policies. Maintain accurate academy records, player files, attendance tracking, registration documentation, and operational reports. Support the Head of Academy Operations with academy-wide operational projects and initiatives. Support the organization and execution of MLS events, tournaments, festivals, friendlies, and showcase competitions. Coordinate communication with internal departments, including facilities, groundskeeping, security, and medical staff, to ensure operational readiness. Assist with all player registration processes through MLS, U.S. Soccer, and applicable federation systems. Support compliance with MLS roster regulations, player movement policies, safeguarding standards, and competition requirements. Maintain up-to-date knowledge of MLS rules, academy standards, and youth player compliance procedures. Assist with international clearance and player documentation processes where applicable. Coordinate team travel arrangements for assigned academy teams in collaboration with the Head of Academy Ops and Finance.  Maintain consistent and professional communication with players and families regarding schedules, travel, programming updates, and operational information. Promote a positive and professional experience that reflects the values and standards of Orlando City SC. Coordinate Academy player housing logistics, including host family placements, housing documentation, onboarding, monitoring, and conclusion of host family agreements in accordance with club policies. To join our team, you will also possess these qualifications:   Bachelor’s degree in Sports Management, Business Administration, or a related field preferred, or equivalent professional experience. Minimum 2–4 years of experience in team operations, Academy administration, or elite youth sports environments preferred. Previous experience working within MLS academies, professional academies, collegiate athletics, or elite youth soccer environments preferred. Knowledge and understanding of MLS rules, youth player registration processes, and Academy operational standards preferred. Experience coordinating logistics, including fixtures, tournaments, travel, and events. Proficiency in Microsoft Office Suite and athlete management platforms such as Teamworks. Strong organizational, administrative, and multitasking skills with exceptional attention to detail. Excellent interpersonal and communication skills with the ability to interact effectively with players, parents, coaches, and staff. Ability to work independently while contributing positively within a collaborative team environment. Ability to manage multiple projects simultaneously while meeting deadlines in a fast-paced environment. Flexible schedule with availability to work evenings, weekends, and travel domestically as required. Bilingual in Spanish or Portuguese preferred but not required. Ability to pass a background screening. Ability to attain and maintain SafeSport certification.
